Humboldt Retreats ("we", "us", or "our") operates the Humboldt Retreats owner portal website and mobile application (together, the "Service"). The Service helps invited property owners and authorized staff manage property performance, reservations, statements, documents, maintenance, messaging, and related operations for Humboldt Retreats properties.

2. Scope

This Privacy Policy describes how we collect, use, store, and share information when you use the Service. Access is invitation-only. The Service is not directed to children under 13, and we do not knowingly collect personal information from children.

3. Information we collect

Depending on how you use the Service, we may collect:

• Account information: name, email address, phone number, password (stored in hashed form by our auth provider), and role (for example, owner or admin).
• Property and operations data: property details, reservations, financial statements, documents, maintenance requests, and related records tied to your account.
• Messages and attachments: content you send through in-app messaging, including optional image attachments.
• Photos: images you choose to upload (for example, for maintenance requests).
• Device and notification data: push notification tokens and permission status so we can send alerts about messages, maintenance, and other portal activity. Push notifications are optional.
• Usage and technical data: basic logs such as IP address, browser or app type, and timestamps needed to operate, secure, and troubleshoot the Service.

4. How we use information

We use the information above to:

• Provide and maintain the owner and admin portal features
• Authenticate users and protect accounts
• Display dashboards, reservations, statements, and documents
• Process maintenance requests and internal communications
• Send in-app and push notifications you enable
• Improve reliability, security, and customer support
• Comply with legal obligations

We do not sell your personal information. We do not use your data for third-party advertising or cross-app tracking.

5. How we share information

We may share information with:

• Service providers that host and power the Service (for example, database/auth hosting, file storage, and push notification delivery). These providers process data on our behalf under contractual obligations.
• Operations partners used to sync reservation or property operations data into the portal, solely to provide the Service.
• Authorized Humboldt Retreats staff who need access to support owners and manage properties.
• Authorities when required by law, or to protect rights, safety, and security.

6. Data storage and retention

We retain account and operations data for as long as your account is active and as needed to provide the Service, meet legal, accounting, or dispute requirements, and maintain security. When you request deletion, we will delete or de-identify personal data except where we must keep it for legal or legitimate business reasons.

7. Security

We use industry-standard safeguards appropriate to the nature of the data, including encrypted transport (HTTPS), access controls, and authentication. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your choices and rights

• Update profile details in Settings where available
• Disable push notifications in your device system settings
• Request access, correction, or deletion of your personal information by emailing admin@humboldtretreats.com

9. Third-party links and services

The Service may reference external systems used in property operations. Their privacy practices are governed by their own policies. This Privacy Policy applies only to the Humboldt Retreats Service.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above. Continued use of the Service after changes means you accept the updated policy.
